Active reservation limit

Configure a maximum number of active reservations per user to prevent hoarding

The active reservation limit allows you to restrict how many reservations a user can have at the same time, preventing one person from hoarding too many spaces.

What is it for?

In communities or clubs with limited resources, it's important to ensure all members have fair access. This feature:

  • Prevents hoarding of spaces
  • Distributes access fairly
  • Encourages responsible use of facilities

Requirements

  • Compatible plan: Your plan must include "Reservation Limits"
  • Usually available in the Basic Plan (Communities)

How it works

What counts as "active reservation"

An active reservation is one that:

  • Has status Confirmed or Pending
  • Its date is today or in the future

DO NOT count:

  • Cancelled reservations
  • Completed reservations (check-in done)
  • Past date reservations

Example

If you set a limit of 3 reservations:

Configuration

  1. Go to Settings in the side menu
  2. Select Restrictions
  3. In Active reservation limit, enter the maximum number
  4. Click Save

Recommended values

No limit

Leave the field empty or at 0 to allow unlimited reservations.


User message

When a user tries to book after reaching the limit, they see a message:

"You have reached the active reservations limit (X). Cancel an existing reservation or wait for the dates to pass."


Dashboard management

As an administrator

Administrators have NO limit. You can create reservations for any user without restrictions.

View a user's reservations

  1. Go to Reservations
  2. Filter by user email
  3. You'll see all their active reservations

Free up space for a user

If a user needs more reservations:

  1. Cancel some of their existing reservations
  2. Or manually complete a reservation (mark check-in)

Considerations

Multiple reservations in one day

The limit counts reservations, not days. If a user books 3 sun loungers for the same day, it counts as 3 reservations.

Limit changes

If you reduce the limit, users who already have more reservations:

  • Keep their existing reservations
  • Cannot create new ones until they're below the limit

Combination with other restrictions

This limit works alongside:

  • Authorized emails list
  • Booking schedule

A user must meet all restrictions to be able to book.
