Authorized emails list
Restrict reservations only to users with previously authorized emails
The authorized emails list allows you to restrict who can make reservations, limiting access only to registered members of your community or club.
What is it for?
In private environments like residential communities or clubs, you need to ensure only members can book. This feature:
- Restricts access to authorized users
- Prevents bookings from outsiders
- Manages membership easily
Requirements
- Compatible plan: Your plan must include "Authorized Emails List"
- Usually available in the Basic Plan (Communities)
How it works
Empty list = Open access
If the list is empty, anyone can book by entering their email.
List with emails = Restricted access
If you add emails to the list, only those emails will be able to complete a booking.
Validation
When a user tries to book:
- They enter their email in the form
- The system checks if it's in the list
- If it is: they can continue
- If it isn't: they see an error message
Configuration
- Go to Settings in the side menu
- Select Restrictions
- In Authorized emails, add the allowed emails
- Click Save
Add emails
You can add emails in several ways:
One by one:
resident1@email.com
resident2@email.com

Copy and paste list: Paste a list of emails separated by commas or line breaks.
Remove emails
Click the X next to the email you want to remove.
User message
When an unauthorized email tries to book:
"The email entered is not authorized to make reservations. Contact the administrator if you think this is an error."
List management
Add new members
When a new resident or member joins:
- Go to Settings → Restrictions
- Add their email to the list
- Save the changes
- The user can now book
Remove members
When someone leaves the community:
- Go to Settings → Restrictions
- Remove their email from the list
- Save the changes
The user's existing reservations are kept. Only creating new ones is prevented.
Import complete list
If you have a list of residents in Excel or similar:
- Copy the email column
- Paste in the authorized emails field
- The system will automatically detect each email
Use cases
Residential community
Add the emails of all owners/tenants. Update the list when there are resident changes.
Sports club
Add active members' emails. Remove when someone stops paying dues.
Company
Add employees' corporate emails for room or parking reservations.
Considerations
Upper/lowercase
The validation does not distinguish between uppercase and lowercase:
User@Email.com=user@email.com
Typos in emails
If a user misspells their email, they won't be able to book even if they're on the list. Make sure users know the exact email they have registered.
Combination with other restrictions
This restriction works alongside:
- Active reservation limit
- Booking schedule
A user must meet all restrictions to be able to book.
Multiple emails per person
If a person has multiple emails, you can add all the ones they need to use.
Frequently asked questions
Can I import emails from a file?
Yes, you can copy and paste from Excel, Google Sheets or any text editor.
Is there a limit on emails in the list?
There's no practical limit. You can add hundreds or thousands of emails.
Can administrators book without being on the list?
Bookings created from the dashboard by administrators don't have this restriction. It only affects bookings from the public widget.
What happens if I empty the list?
The widget returns to open access. Anyone will be able to book.
